Staffing structure and functions of the Student Affairs Division:
The Assistant Dean for Student Affairs exercises the following powers to facilitate the work of student affairs in the college :
1- Organizing the schedules of the final exams in coordination with the scientific departments .
2- Organizing the schedule of weekly lessons in coordination with the scientific departments .
3- Supervising the record of weekly lectures .
4- Delivery of examination books and receipt in accordance with the rules in force .
5. Supervise the progress of work in the Registration Division, distribute work among its employees, monitor their working hours, and approve granting them the regular leaves to which they are entitled.
6- Organizing lists of admission of new students according to the alphabet, registering and distributing them to the divisions in coordination and cooperation with the internal departments .
7- Organizing and auditing documents, as well as grades, study units and courses, and following up the requirements of the preparatory study for all academic levels .
8- Recording students’ semester grades and preparing records for grades and keeping them after submitting them from the examination committee .
9- Signing students’ IDs and books that include referring them to health centers and hospitals .
10- Supervising and following up the orders of students’ absences, entering them in the records, organizing quarterly schedules with the names of students and the number of absences of each of them, publishing them on the bulletin board and warning students .
11- Organizing a compendium of students who fail, leave and dismissed .
12- Supervising students’ cultural, social and sports affairs in coordination with the Student Activities Unit.
13- Preparing everything related to the semester and final exams, and supervising the implementation of the examination instructions.
14- Applying the uniform instructions for students and taking disciplinary penalties against violators.
15- Supervising the printing of what students need from reproduction and photocopying in connection with their studies and after the approval of the head of the concerned department, and approving the purchase of books
And magazines and periodicals for the college library .
16- Signing everything related to the exercise of these powers.
17- Issuing administrative orders to alert, dismiss or fail students in absences or when they fail or violate the regulations and instructions and form investigative committees against violators.
The Registrar of the College is the head of the Registration Division in the College and his duties are to manage the units of the Registration Division in the College, which performs its tasks
This unit includes employees assigned to tasks related to the process of completing documents with grades, graduates’ endorsements and endorsements of students continuing to study for the ten scientific departments since the student’s admission to the first stage until his graduation, in addition to the process of checking all documents and student files, printing student lists, pursuit papers and records of master grades ( Mastersheet ), and the registration staff responsible for the ten scientific departments in our college within the unit perform the following tasks::
*Receiving students’ grades from the scientific departments after the end of the final exams for each semester and the second round and documenting them in students’ grade cards with the calculation of averages.
* Print student lists, lists and papers of pursuit and Mastersheet .
* Print and issue registration numbering orders for students and orders for the return of their registration according to the applicable controls .
*Printing and issuing graduate students’ documents in both Arabic and English .
*Print and issue dismissal orders for students .
